Look for three separate answers
What work was completed? What did the available records show? What will change next? Do not let a search-click total stand in for received inquiries or paid jobs.
You do not need a new dashboard to start. A written report can link to changed pages, relevant search reports and a private office record. The important part is knowing what each number means and where it came from.

Illustrative report. All values below are invented to explain the method; they are not ChurroSEO client results. The example covers one service month. It deliberately includes missing information.
| Report item | What you can conclude |
|---|---|
| Work: two page changes delivered | Ask for the changed URLs and before/after evidence. Delivery proves the agreed work happened; it does not prove additional customers. |
| Search: 80 clicks | People clicked through from search. Check which pages and queries contributed. This is not 80 inquiries. |
| Office: six inquiries | Six unique customer requests were received after excluding tests, spam and duplicates. Sources may include channels other than SEO. |
| Outcomes: two booked; four unknown | Two bookings are recorded. Unknown does not mean lost. Without reliable source evidence, neither booking can be credited to SEO. |
| Decision: clarify service coverage | If recorded inquiries show repeated uncertainty about coverage, update the relevant page and check whether that question persists. |
Do not divide six inquiries by 80 search clicks and call it the website’s conversion rate. Those counts may describe different channels, people or time periods. Similarly, fees divided by two bookings would not establish SEO’s acquisition cost without supported attribution.
Missing data belongs in the report
Ask your provider to write “unavailable” when a metric was not collected. Reserve zero for a measured count of none. If your office has not updated a job outcome, leave it unknown rather than calling it an unsuccessful lead.
Keep the date range next to each source. Seasonal demand, a changed service area and incomplete tracking can affect comparisons. A first month with no reliable baseline cannot support a confident improvement claim.
Search Console defines search clicks and impressions. Google Business Profile counts clicks on its call button; that is not a confirmed conversation. Ask for office records separately.
Finish with a decision you can check
- Confirm delivery. Match the report’s work list to the agreed allowance and evidence.
- Identify the uncertainty. Is the problem weak visibility, an unclear page, a broken contact route or missing office outcomes?
- Choose the next bounded action. Name the page or process, its owner and how completion will be checked.
- Review the result later. Keep completed work separate from any later change in customer outcomes.
Download the blank monthly report template (CSV). Open it in your existing spreadsheet tool; no email or new CRM is required. Store completed reports privately and avoid including customer personal information in public screenshots.
If you cannot trust whether inquiries arrive, start with the inquiry-route checklist. If the work allowance itself is unclear, compare the service costs and inclusions. Our service includes a written monthly report and short recorded explanation; it does not include running your sales desk or custom CRM integrations.
